Who we are

Melatone Skin Clinic Ltd ("Melatone", "we", "us") operates from Unit 13A, Battersea Business Centre, 99-109 Lavender Hill, London SW11 5QL. We are the data controller for the personal information you provide to us.

What data we collect

• Contact details (name, email address, phone number) when you enquire, book, or message us
• Health information relevant to your treatment, collected at consultation
• Booking and payment records via Fresha (see Fresha's own privacy policy). Records of bookings made through Treatwell before our move to Fresha remain subject to Treatwell's own privacy policy.
• Communications sent via WhatsApp, email, or our booking platform
• Website analytics (page views, session data) via Google Analytics 4, processed in aggregate

How we use your data

• To manage your appointments and provide treatment safely
• To follow up after treatment where clinically appropriate
• To send you appointment reminders and clinic updates (you may opt out at any time)
• To comply with our legal and regulatory obligations

Legal basis for processing

We process most data on the basis of contract (fulfilling your booking) or legitimate interests (clinic administration). Health data is processed on the basis of explicit consent provided at consultation, which you may withdraw at any time.

Treatment photos and videos: with your consent, given by the optional tick on our laser patch test form or in person at your visit, we may use photos or videos of your treatment, without your name, on our Instagram, Facebook, TikTok and YouTube and on our website. We do not use them in paid adverts unless you agree separately. You can withdraw at any time by emailing hello@melatoneskinclinic.co.uk, and we will take them down.

Sharing your data

We do not sell your personal data. We share data only with service providers necessary to operate the clinic (Fresha for bookings, Google for analytics, WhatsApp/Meta for communications, Stripe for shop payments). Each processor is bound by appropriate data processing agreements.

Your rights

Under UK GDPR you have the right to access, correct, delete, or restrict processing of your personal data. You may also object to processing or request data portability. To exercise any right, contact us at hello@melatoneskinclinic.co.uk.

If you are unsatisfied with our response you may lodge a complaint with the Information Commissioner's Office at ico.org.uk.

The Skin Guide on our shop

If you use the Skin Guide on our shop page, we ask for your first name and email address so we can send you the routine it builds. Your answers to the guide questions are used in your browser to build the routine and are not sent to us. We store your name, email address, whether you asked for skin tips, and the date, in Notion, our lead management tool, which may hold data outside the UK under UK approved transfer safeguards. We send tips only if you tick the optional box, and you can unsubscribe at any time. We keep Skin Guide details for 12 months from our last contact with you, or as part of your client record if you become a client.

Retention

We retain client records for a minimum of 7 years from the date of last treatment, in line with NHS and aesthetic industry guidance. Analytics data is retained for 14 months. Skin Guide details are kept for 12 months from our last contact with you.

Cookies

Essential cookies run the site. With your consent, given through the cookie banner, we also set analytics cookies (Google Analytics) and advertising cookies (Meta and Google Ads) to understand traffic and measure marketing. You can decline non essential cookies in the banner or change your choice at any time. See our cookie policy.

Changes to this policy

We may update this policy periodically. The current version is always available at this URL. Material changes will be communicated by email where we hold your contact details.
